Job Summary:

At GreyStone Power, the Engineering Support Rep I is a role that provides administrative and communication support for the Engineering staff.  The role is responsible for documenting and providing status of construction and maintenance projects to GreyStone Residential Members and Developers.  This role is responsible for determining the appropriate documentation necessary to initiate and manage service orders and work requests in support of Work Management systems, operational recordkeeping, and organizational reporting. The Engineering Support Rep I will perform data entry and validation across multiple platforms, including operational databases and statistical reporting spreadsheets, and Laserfiche repository to support the preparation of departmental performance metrics and record keeping.


Key Responsibilities:
  • Provide a resource for members, builders/developers, Field Engineering staff and other employees, electronically, in person, and over the radio or phone.

  • Obtain and give information; explaining operational policies, processes and procedures, informing members and staff of construction status, constraints or problem resolutions required.

  • Maintain organized and accurate information resources; locate and retrieve information from manual or computerized systems to provide requested information.

  • Create new files and purge old files according to established procedures; to update and correct information to maintain accurate records.

  • Provide help with collecting and keying data; maintain the quality of work-unit specific databases and spreadsheets.

  • Act as a liaison between members, member service representatives, and Engineering staff, assuming responsibility for quality control, avoiding duplication or miscommunication of member requests.

  • Use maps and operational databases, and communicate with other operational staff members, field service representatives and member service representatives to ensure accuracy.

  • Provide phone coverage, transfer calls or take messages for all Engineering staff as requested.

  • Receive, review and evaluate all member requests for outdoor light(s), service and distribution maintenance requests.

  • Create appropriate Work Management documents, including work requests and work orders for labor and material accounting.

  • Route to support staff, construction crews, maintenance crews, dispatch or staking field staff according to operational protocol and documented processes.

  • Provide electronic or printed distribution plats for subdivision service construction.  Indicating correct meter base locations for builders and developers throughout the construction process.

  • Assist builders/developers/members requesting underground service, assuring accuracy and completeness. Receive and manage member release forms for underground service construction, creating electronic document records for operations staff, work orders and records retention purposes.

  • Create appropriate Meridian service orders for connects/disconnects of temporary service, and all new service connect orders for permanent service in subdivisions received by phone, fax or email, when the applicant is an existing large volume builder/developer in good financial standing with the organization.

  • Initiate appropriate Work Management documentation for member requested meter connects/disconnects or service extensions used by senior support staff and staking to create work orders; electronically attaching any supporting documentation.

  • Update construction status and/or make corrections to corporate specified Meridian and Work Management applications, database or spreadsheet records.

  • Process and complete all miscellaneous Service Orders for maintenance; Monitor Work Requests, and compile reports and logs as required.

  • Calculate and collect construction related cost, secure construction cost approvals and create direct charges to facilitate invoicing.

  • Assist, document and record engineering staff efforts to secure easements, permits, NOI/NOT and all other required documentation for construction.

  • Initiate, renew and keep accurate records of all Georgia State Utilities Protection Center locate tickets required by law for construction maintenance, emergencies, restoration of service.

  • Receive and review all completed service orders and work requests from construction and maintenance staff.  Responsible for assuring that all information has been received and recorded within all applications appropriately.  Process miscellaneous service orders and work requests in a timely manner, for crew activity tracking.

  • Verify and key meter and transformer statistics on electronic work requests for GIS, billing and records retention.

  • Evaluate, create and route appropriately any work requests that require “further action” or supplemental documentation when initial requests are complete.

  • Close all finished Work Management work requests based on queried finish date, ensuring any open requirements have been addressed appropriately.

  • Responsible for expanding knowledge base and skill set regarding any general and specialized computer software applications, along with any RUS labor and material accounting principles used in operations and engineering.

  • Provide assistance and back up for other Engineering Support staff members in the event of absence, during lunch and breaks, or during high volume situations.


Required Education, Knowledge, Skills and Abilities:
  • Requires High School Graduate/Equivalent.

  • A minimum of three years’ experience in a member service capacity is desired.

  • Bilingual ability (English, Spanish) is preferred, but not required.

  • Requires the ability to interact tactfully with others, and maintain confidentiality of information

  • Write legibly to record information; prepare Meridian documentation; understand and follow oral and written instructions.

  • Read and understand process diagrams and scripted procedure documentation

  • Verbally communicate information clearly, concisely and confidently to others.

  • Requires efficient and accurate data entry skills; knowledge of personal desktop computers, and intermediate level skills using Microsoft Office applications including Word and Excel.

  • Knowledge and basic proficiency is required in Meridian Utility Power Net (UPN) application to review and interpret customer information. Familiarity with UPN Work Management software is desired.

  • Must understand basic arithmetic.

  • Familiarity with RUS labor and material accounting practices is desired.

  • Must be comfortable working in multiple software applications simultaneously, and in the use of shared network drives.

  • Experience with utility construction is desirable.

  • Under assigned guidance and general supervision, must perform varied and increasingly responsible clerical/support work and related duties as required.

  • Must satisfactorily pass GreyStone Power’s employment physical and required drug screen.

Physical Requirements and Environment

Fast paced interdependent team environment requiring mobility within the office, construction and warehouse area. Time is spent sitting at a desk, keying data, and answering the telephone and radio. Ability to work in multi-task environment with frequent interruptions and distractions is required. Require flexibility to work in disaster situations or overtime as workload demands. Operational support hours are from 7:00 am until 6:00 pm. Schedules will be rotated to assure adequate coverage.
